Business & School Collection Terms

Effective Date: 25 September 2026

Last Updated: 25 September 2026

These Business & School Collection Terms (“Terms”) apply where Eco Tech Recycle collects, receives, assesses, repairs, refurbishes, reuses, purchases, recovers parts from, or arranges recycling or other processing of IT and electronic equipment supplied by businesses, schools, colleges, charities, community organisations, social enterprises, public-sector bodies and other organisations.
Eco Tech Recycle is a trading name of Tech Cell Limited.
These Terms should be read together with our:
Collection, Device Acceptance & Valuation Policy;
Data Erasure & Data Security Policy;
Recycling & WEEE Policy;
Activation Lock & Device Preparation Guide;
Purchase, Buy-Back & Payment Terms;
Device Grading, Functional Condition & Resale Classification Policy;
Repair, Refurbishment & Returned Device Service Policy;
Delivery, Shipping & Collection Policy;
Privacy Policy;
Complaints Policy; and
any quotation, collection confirmation, asset schedule, service agreement, Data Processing Agreement or other written terms issued for the relevant project.
Where a specific written quotation, service agreement or collection confirmation contains lawful terms that differ from these general Terms, the specific written terms will take priority for that project.
Key Points at a Glance
The organisation must have authority to release the equipment.
Collection requests are subject to review and confirmation.
Free collection is not guaranteed.
Equipment should be accurately described before collection.
Organisations should remove MDM, activation locks and management restrictions where possible and authorised.
Data and reporting requirements should be agreed before processing begins.
A formal device-level data-erasure report is not automatically included with every collection.
Waste documentation will be provided or completed where required by law and according to the agreed service.
Provisional valuations may change after inspection and testing.
Mixed batches may be divided between different lawful routes.
Unsafe or materially misdescribed equipment may be refused or require different arrangements.
A separate Data Processing Agreement may be required where Eco Tech Recycle acts as a processor of personal data on behalf of the organisation.

1. Scope
These Terms may apply to:
business IT equipment collections;
school and college collections;
charity and community organisation collections;
public-sector or organisational IT collections;
office clearances involving agreed IT equipment;
surplus equipment collections;
mixed-condition laptop, desktop, phone or tablet collections;
asset-recovery projects;
repair and refurbishment projects;
equipment offered for valuation or purchase;
agreed donation or reuse projects;
parts-recovery projects; and
recycling and WEEE collections.
The precise scope of each project depends on what has been agreed in writing.

2. Authority to Release Equipment
The organisation must ensure that the person arranging and authorising the collection has appropriate authority to release the equipment.
By providing equipment to Eco Tech Recycle, the organisation confirms, to the best of its knowledge and authority, that:
it owns the equipment or has appropriate authority from the legal owner;
relevant internal approvals have been obtained;
staff releasing equipment are authorised to do so;
the equipment is not knowingly stolen;
unresolved finance, lease, hire, insurance or third-party ownership arrangements have been disclosed;
any known restrictions affecting lawful transfer have been disclosed; and
information provided about the equipment is materially accurate.
Eco Tech Recycle may request reasonable evidence of authority or ownership where appropriate.
This may include:
written asset-release approval;
confirmation from an authorised manager;
asset records;
ownership documentation; or
other appropriate evidence.
Eco Tech Recycle may suspend or refuse processing where there is a reasonable unresolved ownership or authority concern.

3. Information Required Before Collection
Before confirming a collection, Eco Tech Recycle may request:
organisation name;
site address;
billing address where applicable;
authorised contact name;
telephone number;
email address;
equipment types;
approximate quantities;
photographs;
asset lists;
serial numbers where available;
equipment condition;
known faults;
battery condition;
activation-lock status;
MDM or management status;
ownership or lease information;
data-security requirements;
data-erasure reporting requirements;
recycling or waste-documentation requirements;
collection access details;
floor or lift information where relevant;
parking or loading information;
safeguarding requirements;
visitor requirements;
site induction or security procedures;
preferred collection date or time window; and
any unusual handling or safety requirements.
Accurate information helps us assess whether the proposed collection is safe, practical and suitable for the requested service.

4. Collection Suitability and Minimum Quantities
Collections are subject to assessment, route availability and written confirmation.
As a general operational guide:
London and nearby areas: normally a minimum of 5 qualifying IT devices;
Elsewhere in the UK: normally a minimum of 10 qualifying devices or a pallet-level collection;
Phones or tablets only: normally a minimum of 20 devices.
These are guidelines rather than guaranteed acceptance thresholds.
Smaller quantities may sometimes be accepted through:
drop-off;
postal or courier arrangements;
paid collection; or
another agreed arrangement.
Free collection is not guaranteed.
Collection suitability may depend on:
location;
quantity;
equipment type;
condition;
potential value;
safety;
access;
transport requirements;
handling requirements;
recycling costs;
data-security requirements; and
operational viability.

5. Collection Confirmation
Submitting a collection request does not by itself create a confirmed booking.
A collection is confirmed only when Eco Tech Recycle provides appropriate confirmation.
The confirmation may specify:
collection date;
approximate time or time window;
site;
contact person;
equipment or approximate quantity;
agreed charges, if any;
reporting requirements;
access arrangements; and
other project-specific conditions.
Any material change should be communicated before collection.

6. Preparing Equipment
Before collection, the organisation should, where applicable:
back up information it needs to retain;
remove personal SIM cards;
remove removable memory cards where appropriate;
remove activation locks;
remove MDM and organisation-management restrictions where authorised;
remove devices from relevant deployment or management systems where required;
separate staff-owned or personal equipment;
identify leased or third-party-owned equipment;
confirm whether chargers and accessories are included;
identify faulty or damaged equipment;
identify unsafe or swollen batteries;
identify equipment requiring special handling;
provide an agreed asset list;
make equipment accessible;
ensure relevant staff know that collection is taking place; and
provide site-specific instructions.
Further preparation guidance is provided in our Activation Lock & Device Preparation Guide.

7. Data Security
Organisations remain responsible for deciding what information they need to back up, preserve or export before equipment is handed over.
Unless data recovery or preservation has been specifically agreed, organisations should assume that data may become permanently unavailable after processing begins.
Data-bearing equipment will be handled in accordance with our Data Erasure & Data Security Policy.
Where applicable, Eco Tech Recycle may use licensed Certus data-erasure software to support erasure workflows for eligible equipment.
A formal device-level erasure report is available only where the process is:
applicable;
successfully completed;
appropriately recorded; and
included in or agreed as part of the service.
A factory reset alone is not represented by Eco Tech Recycle as certified secure data erasure.
Where erasure cannot be successfully completed, the relevant device or storage media may require:
storage-media removal;
secure physical destruction;
secure downstream processing;
return where agreed; or
exclusion from an end-user reuse route.
Detailed data-erasure and reporting requirements should be agreed before processing begins.

8. Controller and Processor Responsibilities
The data-protection roles of Eco Tech Recycle and the organisation depend on the particular processing activity.
For some activities, Tech Cell Limited may act as an independent controller of personal data, for example when processing ordinary customer contact, transaction, accounting or compliance information for its own legitimate purposes.
In other circumstances, Eco Tech Recycle may process personal data on behalf of an organisation as a processor.
Where Eco Tech Recycle acts as a processor and applicable law requires an Article 28 contract, an appropriate written Data Processing Agreement or equivalent legally binding processor terms must be put in place.
These public Business & School Collection Terms are not a substitute for an Article 28 Data Processing Agreement where one is legally required.
ICO guidance confirms that controller-processor arrangements require written contractual terms covering matters such as documented instructions, confidentiality, security, sub-processors, data-subject rights, assistance, end-of-contract handling and audits. Information Commissioner’s Office
Any organisation requiring customer-specific processing instructions, sub-processor controls, audit provisions or deletion/return requirements should raise these before the relevant processing begins.

9. MDM and Organisation Management
Business, school and organisational devices may remain registered with systems such as:
Apple Business Manager;
Apple School Manager;
Microsoft Intune;
Windows Autopilot;
Jamf;
Google Workspace management;
Samsung Knox; or
another MDM or endpoint-management platform.
The organisation should remove relevant restrictions where necessary and where it has authority to do so.
Resetting a device does not necessarily remove it from an organisation’s management or deployment system.
Equipment that remains managed or locked may be:
untestable;
unsuitable for reuse;
unsuitable for resale or donation;
significantly reduced in value;
held pending customer action;
returned; or
directed to another lawful route.
Eco Tech Recycle does not unlawfully bypass MDM, Activation Lock or other security restrictions.

10. On-Site Access and Safeguarding
The organisation must provide reasonably safe and appropriate access for the agreed collection.
Before collection, the organisation should disclose relevant:
visitor sign-in procedures;
identification requirements;
safeguarding requirements;
DBS-related site requirements, where applicable to the visit;
staff escort requirements;
collection locations;
access restrictions;
floor or lift access;
loading arrangements;
parking restrictions;
time restrictions;
security procedures; and
site health-and-safety rules.
Eco Tech Recycle may pause, refuse or reschedule a collection where access is unsafe, unavailable or materially different from the information provided.

11. Equipment Accessibility and Loading
Unless specifically agreed otherwise, equipment should be consolidated and reasonably accessible for collection.
The organisation should tell us in advance if collection requires:
significant stairs without lift access;
unusual manual handling;
removal from racks;
dismantling of installed equipment;
removal from multiple buildings;
restricted loading access;
specialist lifting equipment;
security clearance; or
extended waiting or loading time.
Additional arrangements or charges may be required where collection is materially more complex than described.

12. Handover and Asset Records

Depending on the agreed service, Eco Tech Recycle may provide or maintain records such as:
collection confirmation;
handover record;
asset list;
serial-number record;
IMEI record;
intake record;
condition record;
data-erasure record;
waste documentation; or
other agreed reporting.
Not every collection automatically includes detailed device-level reporting.
Where detailed serial-number capture, asset reconciliation, device-level erasure reporting or other enhanced reporting is required, this should be agreed before processing.
Additional charges may apply where enhanced reporting falls outside the standard service.

13. Waste Transfer and Recycling Documentation
Where equipment is legally classified as waste, applicable waste duty-of-care requirements apply.
For non-hazardous business waste moved off a site, a waste transfer note or another document containing the required information may be necessary. GOV.UK states that both parties must retain a copy for two years. GOV.UK
Hazardous waste may be subject to separate classification, consignment-note and record-keeping requirements. GOV.UK
The organisation should tell Eco Tech Recycle before collection if it requires particular:
waste transfer records;
asset-disposal documentation;
audit evidence;
compliance records;
downstream reporting; or
other project-specific documentation.
Documentation requirements may differ depending on whether equipment is being transferred as used EEE, WEEE or through another lawful service route.
Our broader approach is explained in the Recycling & WEEE Policy.

14. Valuation and Purchase

Some equipment may have commercial value.
Other equipment may have little or no value, or may involve costs associated with:
collection;
transport;
testing;
data security;
repair;
handling;
storage;
specialist processing; or
recycling.
Unless expressly confirmed otherwise in writing, any valuation provided before physical inspection is provisional.
Final valuation may depend on:
make and model;
specifications;
age;
condition;
functionality;
cosmetic grade;
screen condition;
battery condition;
completeness;
serial number or IMEI;
activation-lock status;
MDM status;
ownership status;
data-security outcome;
repair requirements; and
current commercial viability.
Payment applies only where Eco Tech Recycle makes a purchase offer and the organisation accepts that offer in accordance with the applicable terms.
Further details are provided in our Purchase, Buy-Back & Payment Terms.

15. Mixed-Condition Batches
Organisational collections frequently contain equipment in different conditions.
A batch may include:
fully working devices;
faulty devices;
damaged devices;
incomplete devices;
locked devices;
managed devices;
untested devices;
no-power devices;
data-bearing equipment;
parts-only equipment; and
recycling-only equipment.
Different items within the same collection may therefore be assigned different routes.
Possible routes include:
repair;
refurbishment;
reuse;
resale;
agreed redeployment;
lawful parts recovery;
recycling;
specialist downstream processing;
return to the organisation;
hold pending customer action; or
another appropriate route.
Collection of equipment does not guarantee a particular route for every item.

16. Repair and Diagnostic Work
Where a business or school collection includes equipment for diagnosis or repair, collection of the equipment does not automatically mean that unlimited diagnosis or repair work is included free of charge.
Assessment, detailed diagnosis and repair may be separate services.
Where applicable, the project quotation or repair agreement should specify:
initial assessment scope;
diagnostic charges;
repair charges;
parts costs;
approval thresholds;
whether diagnostic fees may be credited against approved repairs;
return arrangements;
non-repairable equipment routes; and
payment terms.
No additional chargeable repair work will be carried out beyond an agreed approval process.
Further terms may be contained in our Repair, Refurbishment & Returned Device Service Policy or a separate bulk repair agreement.

17. Charges

Depending on the project, charges may apply for:
small collections;
distant collections;
failed or wasted journeys;
excessive waiting time;
difficult access;
unusual manual handling;
specialist transport;
unsafe equipment;
specialist battery handling;
detailed asset recording;
serial-number capture;
detailed data-erasure reporting;
detailed diagnosis;
repair work;
return logistics;
specialist recycling or treatment; or
additional services outside the agreed scope.
Where practical, applicable charges will be confirmed before the relevant chargeable service is carried out.

18. Failed or Wasted Collections
A reasonable failed collection, wasted journey or additional collection charge may apply where, for example:
the agreed equipment is unavailable;
the site is closed;
the authorised contact is unavailable;
access cannot be obtained;
equipment is not reasonably accessible;
required site arrangements were not disclosed;
parking or loading access is materially different from what was agreed;
equipment is materially different from the description supplied;
quantity is materially different from the information supplied;
unsafe equipment was not disclosed;
the organisation cancels after resources have reasonably been committed; or
the collection cannot reasonably be completed because of circumstances within the organisation’s control.
Any charge will take account of the circumstances and the applicable quotation or collection terms.

19. Unsafe or Undisclosed Equipment

The organisation must tell Eco Tech Recycle about known material safety risks before collection.
This includes:
swollen batteries;
leaking batteries;
punctured batteries;
fire-damaged devices;
heat-damaged devices;
smoking or sparking equipment;
serious liquid damage;
sharp broken components;
exposed hazardous components;
chemical contamination; or
other known unusual hazards.
Eco Tech Recycle may refuse, isolate, reclassify or require specialist arrangements for unsafe equipment.

20. Changes to the Agreed Collection
If the organisation wishes to add substantial quantities, different equipment types or materially different services after a collection has been agreed, Eco Tech Recycle may reassess:
vehicle requirements;
collection timing;
charges;
documentation;
staffing;
handling;
data-security requirements; and
whether the revised collection can be completed.
Material changes should be agreed before the collection takes place.

21. Subcontractors and Downstream Providers
Eco Tech Recycle may use appropriate third parties where reasonably necessary for services such as:
transport;
specialist repair;
specialist data destruction;
recycling;
specialist waste treatment;
software services; or
operational support.
Where personal data is processed by a sub-processor on behalf of an organisation and Article 28 applies, the applicable authorisation and contractual requirements will be followed. ICO guidance requires processor-to-sub-processor arrangements to provide equivalent protection for the relevant personal data. Information Commissioner’s Office
Where an organisation requires customer-specific restrictions on subcontracting or downstream providers, those requirements must be agreed in writing before the service begins.

22. Records and Retention
Eco Tech Recycle may retain appropriate collection, asset, transaction, waste, data-erasure, repair and correspondence records where reasonably necessary for:
providing the service;
accounting and tax;
legal and regulatory obligations;
audit;
waste duty of care;
fraud prevention;
security;
dispute handling;
insurance; and
contractual requirements.
Personal data will be handled in accordance with our Privacy Policy.
Applicable statutory waste records will be retained for the period required by law.

23. Responsibility and Liability
Eco Tech Recycle will take reasonable care when handling equipment.
However, organisational collections may contain old, faulty, damaged, incomplete, untested or end-of-life equipment with hidden or pre-existing defects.
Subject to applicable law and any specific written agreement, Eco Tech Recycle will not normally be responsible for loss arising solely from:
pre-existing device faults;
undisclosed damage;
inaccurate equipment information;
undisclosed ownership restrictions;
customer failure to back up required data;
customer failure to remove locks or management restrictions;
unsafe conditions that were not reasonably disclosed; or
circumstances outside our reasonable control.
Nothing in these Terms excludes or restricts liability for:
death or personal injury caused by negligence;
fraud or fraudulent misrepresentation; or
any other liability that cannot lawfully be excluded or restricted.
Specific projects may contain separate reasonable liability provisions agreed in writing between the parties.

24. Cancellation and Rescheduling
If an organisation needs to cancel or reschedule a confirmed collection, it should notify Eco Tech Recycle as soon as reasonably possible.
Where significant resources, transport or specialist arrangements have already been committed, a cancellation or rescheduling charge may apply if this was included in the quotation or otherwise agreed.
Eco Tech Recycle may also need to reschedule because of:
vehicle problems;
staff availability;
unsafe conditions;
severe weather;
site-access issues;
operational disruption; or
other circumstances outside reasonable control.
Where this happens, we will aim to communicate with the organisation and arrange an alternative where reasonably possible.

25. Complaints
Complaints relating to a business or school collection should be sent to:
Email: info@ecotechrecycle.co.uk
Subject: Complaint – Business/School Collection
Where possible, please include:
organisation name;
contact name;
collection reference;
collection date;
equipment or batch details;
description of the issue;
supporting documents or photographs; and
requested outcome.
Complaints will be handled in accordance with our Complaints Policy.

26. Changes to These Terms
Eco Tech Recycle may update these Terms to reflect changes in:
services;
operational processes;
collection requirements;
legislation;
regulatory guidance;
data-security processes;
waste requirements; or
business operations.
The version applying to a confirmed collection or project will normally be the version in force when the service was agreed, together with any specific written quotation or agreement.
Later changes will not normally alter an existing confirmed agreement retrospectively unless the parties agree or applicable law requires or permits the change.

27. Governing Law and Jurisdiction
Unless a specific written agreement provides otherwise, these Terms are governed by the laws of England and Wales.
For organisations acting wholly or mainly for business or organisational purposes, the courts of England and Wales will have jurisdiction, subject to any mandatory legal requirements that apply.
